Many clients, one week

How do you handle bank reconciliation when 15 QuickBooks Online clients close at once?

Stop treating each reconciliation as a fresh start. Keep every client's bank feed reviewed during the month, collect statements the day they're available, work the clients in a fixed order, and spend your time on the exceptions, not on lines that clearly match. The tedious part of reconciling in QuickBooks is clicking through hundreds of lines that were never in doubt.

Why it feels tedious in QuickBooks Online

The reconcile screen asks you to tick every cleared line, one account at a time, one client at a time. With 15 clients that's thousands of clicks on lines nobody doubted, and the few that need judgment (splits, timing differences, duplicates, fees) get the same attention as the rest.

It gets worse when everyone closes in the same week, because a backlog in one client's bank feed holds up the reconciliation behind it.

A month-end routine for 15 clients

  1. During the month, review each client's bank feed weekly and use bank rules for recurring transactions, so month-end starts with a short queue, not a full one.
  2. On the first business day, request or download every client's statement and, where the bank offers it, a CSV or Excel transaction export.
  3. Keep one list of all clients and accounts with a status for each: statement in, reconciled, exceptions open, reviewed, closed.
  4. Work the clients in a fixed order, starting with high-volume accounts and ones a lender or tax deadline depends on.
  5. Clear the routine matches first, then work the exceptions together: amount mismatches, missing items, duplicates and timing differences.
  6. Post corrections in QuickBooks Online, confirm the difference is zero, and record who reconciled and when.
  7. Carry what you learned forward: a new rule for a recurring vendor, a note on a client's timing quirk.

Where the time actually goes

  • Lines that obviously match. Rules and matching tools should clear these, not you.
  • Chasing statements. Ask for them on a set day every month.
  • The exceptions. This is the real work, and it's where your judgment is worth paying for.

Clearing

Where Clearing fits

Clearing is desktop bank reconciliation for bookkeepers. You export the bank statement and the QuickBooks Online register as CSV or Excel, and Clearing matches them on your computer in four passes (exact, reference, tolerance, then fuzzy), shows the signals behind each match, and leaves you the exceptions. It learns matching rules for each client, and those rules carry over month to month.

Nothing clears until you approve it, and you make the corrections in QuickBooks Online; live two-way QuickBooks Online and Xero sync is not shipped. For about 15 clients, Pro covers up to 20 clients for $499 a year, with unlimited bank accounts per client.

Where it isn't a fit

Clearing reads CSV and Excel exports only, so PDF, OFX or QFX statements need converting first. If you'd rather stay entirely inside QuickBooks Online, the routine above works on its own.

Why is bank reconciliation in QuickBooks Online so tedious?
The reconcile screen asks you to tick every cleared line, one account and one client at a time, so most of the effort goes on lines that were never in doubt. The few that need judgment, such as splits, timing differences, duplicates and fees, get lost among them.
